Spreadsheets are great for calculating pay. They are not great for producing payslips. If you have been running payroll in Excel or Google Sheets, you already have all the data you need. The missing piece is turning those rows and columns into a document that looks professional and meets compliance requirements.
A spreadsheet is a calculation tool, not a document tool. Trying to make it do both leads to formatting headaches and compliance gaps.
The Problem With Spreadsheet Payslips
Many small businesses start by printing a spreadsheet tab and handing it to employees. It works, until it does not.
| Issue | What Goes Wrong |
|---|---|
| Formatting | Column widths shift, headers disappear on print, and every payslip looks different. |
| Compliance | Missing required fields like NI number, tax code, or pay period can create legal exposure. |
| Errors | A broken formula silently changes every payslip in the sheet. No validation catches it. |
| Security | One file holds every employee's salary. Sharing it means sharing everyone's data. |
| Professionalism | Employees notice. A messy payslip signals a messy operation. |
If any of these sound familiar, you do not need to abandon your spreadsheet. You just need a better last step.
How to Turn Your Spreadsheet Into Proper Payslips
Step 1: Clean Up Your Spreadsheet
Make sure your data is structured with one row per employee and clear column headers. At minimum, you need:
- Employee name
- Pay period (start and end dates)
- Gross pay
- Each deduction (tax, NI, pension, student loan, etc.)
- Net pay
Remove merged cells, summary rows, and anything that is not employee-level data. Save the file as CSV if you are using Excel.
Step 2: Sign In to CleverSlip
Open CleverSlip and navigate to your dashboard. If this is your first time, the setup takes about a minute. There is no software to install.
Step 3: Import Your Data
Upload your CSV file. CleverSlip maps your columns to the correct payslip fields. You will see a preview before anything is generated, so you can confirm that names, amounts, and deductions landed in the right place.
Tip: Keep your column headers consistent month to month. Once CleverSlip learns your mapping, future imports take seconds.
Step 4: Review and Adjust
Check the preview for each employee. This is where CleverSlip adds what spreadsheets cannot: proper formatting, required compliance fields, and a consistent layout across every payslip. If a field is missing, you will see a warning before generating.
Step 5: Generate PDFs
Hit generate. CleverSlip produces individual PDF payslips for every employee in your import. Download them all at once or send them directly via email.
Before and After
| Spreadsheet Payslip | CleverSlip Payslip | |
|---|---|---|
| Format | Raw grid, inconsistent | Clean, branded PDF |
| Compliance fields | Whatever you remembered to add | Built-in by default |
| Error checking | None | Validation on import |
| Per-employee files | Manual copy-paste | Automatic |
| Time for 20 employees | 30+ minutes | Under 3 minutes |
You Do Not Have to Stop Using Your Spreadsheet
This is the part most guides skip. You do not need to migrate away from Excel or Google Sheets. If your spreadsheet handles calculations well, keep using it. CleverSlip is not a replacement for your spreadsheet. It is the step that comes after.
Your workflow becomes:
- Calculate pay in your spreadsheet as usual.
- Export to CSV.
- Import into CleverSlip.
- Generate and distribute professional payslips.
No new payroll system. No re-entering data. Just a cleaner final output from the numbers you have already verified.
